Disclosure and Data Use

This Disclosure and Data Use notice explains how VHUB LLC, operating as VHUBS (collectively, “VHUBS,” “we,” “us,” or “our”), collects, reviews, uses, stores, and shares information submitted through VHUBS.org, including information provided through VHUBS and VMARK intake forms, member accounts, messages, connection-search requests, consultations, and related services.

By submitting information or materials, you confirm that you have read this notice and that you have the authority to provide the information and materials submitted. If you are submitting on behalf of an organization, you confirm that you are authorized to act for that organization.

### 1. Who we are

VHUB LLC is a consulting management agency that facilitates business, cultural, and creative-industry collaborations. We support trade facilitation, market-entry advisory, sustainable design collaborations, and cross-border creative partnerships.

### 2. Information we collect

Depending on how you use VHUBS.org, we may collect:

- Account and identification information, including name, email address, member ID, partner ID, login activity, membership level, and preferred language.
- Business and contact information, including organization name, city, country, telephone or WhatsApp number, website, and social-media information.
- Profile and classification information, including partner type, additional roles, industry, capabilities, interests, support requested, target markets, readiness information, review status, and tags.
- Questionnaire responses about your identity, products, services, craft, production, business goals, and desired connections.
- Files and media you upload, including logos, photographs, catalogs, portfolios, PDFs, product materials, and related documents.
- Service activity, including messages and replies, consultation or booking information, connection-search requests, curated connections, internal review decisions, and communications with VHUBS.
- Technical information made available by Wix and related service providers, such as device, browser, security, session, and website-use data.

Please do not submit government identification numbers, financial-account information, health information, passwords, or other highly sensitive personal information unless VHUBS specifically requests it through an authorized and secure process.

### 3. How we use information

VHUBS may use submitted information to:

- Create, administer, and support member and business profiles.
- Review, verify, organize, classify, tag, and evaluate submissions.
- Identify potential business, design, manufacturing, vendor, buyer, partner, consulting, or market-entry opportunities.
- Provide messages, requested support, curated connections, introductions, consultations, and follow-up communications.
- Conduct internal research, market analysis, program planning, reporting, and service improvement, including aggregate or de-identified analysis where practical.
- Protect VHUBS, its users, and its systems; prevent misuse; enforce site rules; and comply with applicable legal obligations.

### 4. When information may be shared

VHUBS may disclose information as reasonably necessary to:

- VHUBS personnel, authorized reviewers, affiliates, consultants, and contractors who need the information to perform their work.
- Technology and business-service providers that support website hosting, CRM, email, storage, analytics, security, bookings, and communications.
- Approved potential business connections, partners, buyers, manufacturers, designers, vendors, or institutions when VHUBS determines that the information is relevant to an evaluation or requested introduction.
- Government authorities, legal advisers, or other parties when required by law or reasonably necessary to protect rights, safety, security, and the integrity of VHUBS services.
- A successor organization in connection with a merger, financing, restructuring, sale, or transfer of all or part of the business, subject to applicable law.

VHUBS does not sell personal information for money. VHUBS may disclose business-profile information to provide the evaluation, connection, introduction, research, and consulting services described in this notice. Contact details and nonpublic materials should be shared only with authorized recipients and when appropriate for the service or approved introduction.

### 5. Submitted materials and intellectual property

You retain ownership of original materials that you own. By uploading or submitting materials, you confirm that you own them or have permission to provide them. You grant VHUBS a nonexclusive, worldwide, royalty-free license to host, copy, store, organize, translate, summarize, reproduce, and display the materials to authorized reviewers, service providers, and potential connections as reasonably necessary to operate VHUBS services and evaluate opportunities.

This permission does not transfer ownership to VHUBS. You may request that VHUBS stop using or delete submitted materials, subject to legal, operational, backup, recordkeeping, and completed-disclosure requirements.

### 6. Confidential information

Submitting information through VHUBS.org does not by itself create a confidential, fiduciary, employment, agency, joint-venture, or exclusive relationship. Do not submit trade secrets, confidential concepts, or information restricted by another agreement unless VHUBS has first agreed in writing to receive it confidentially.

VHUBS and its participants may independently work with similar industries, products, ideas, markets, suppliers, designers, or business models.

### 7. Membership, messages, and curated connections

Member access and information visibility depend on account role, membership level, review status, approval, and assignment. Basic members may view their own profile information and messages from VHUBS. Gold and Diamond members may receive approved, sanitized, and assigned curated connections. Authorized internal reviewers may access raw submissions, uploaded files, review notes, consent records, and connection-search requests as required for their work.

Users must not copy, publish, resell, scrape, distribute, or use another person’s or organization’s profile information outside the purpose for which VHUBS made it available.

### 8. No guarantee of results

Submitting a profile, purchasing or receiving membership access, requesting a search, sending a message, or booking a consultation does not guarantee approval, eligibility, a response, a connection, an introduction, a transaction, sales, investment, financing, manufacturing capacity, market entry, publicity, or placement on any VHUBS or VLIV service.

VHUBS may approve, decline, pause, classify, limit, or remove a profile or opportunity based on fit, completeness, safety, operational capacity, or program requirements.

### 9. Data retention and security

VHUBS retains information for as long as reasonably necessary to operate services, maintain business and consent records, resolve disputes, enforce agreements, and satisfy legal obligations. Retention periods may vary by record type. Some information may remain in backups or required business records after an account or profile is closed.

VHUBS uses reasonable administrative and technical measures intended to protect information. No website, CRM, email system, file-storage service, or internet transmission can be guaranteed to be completely secure. Please use caution when deciding what to submit.

### 10. International processing

VHUBS works across the United States, Vietnam, and other markets. Information may be accessed, stored, or processed in countries whose privacy laws differ from those where you live. VHUBS will handle information as described in this notice and as required by applicable law.

### 11. Your choices and requests

Subject to applicable law, you may ask VHUBS to provide access to, correct, or delete certain personal information, or to explain how it has been used or disclosed. You may also update information through your member profile where that feature is available.

Send requests to **contactus@vhubs.org** with the subject line **Privacy Request**. VHUBS may need to verify your identity and authority before completing a request. Some requests may be limited by legal, security, fraud-prevention, contractual, backup, or recordkeeping obligations.

### 12. Minors, third-party services, and links

VHUBS.org is intended for adults and authorized business representatives and is not directed to children under 18. Do not submit information about a minor without lawful authority and prior written approval from VHUBS.

VHUBS.org may use or link to services operated by Wix and other third parties. Their own terms and privacy practices apply to information they process independently.

### 13. Changes to this notice

VHUBS may update this notice as services, technology, and legal requirements change. The effective date and version at the top identify the notice associated with a submission. Material changes will be posted on VHUBS.org and, when appropriate, communicated to affected members.
